About these terms
These terms apply when you buy a service from Spare Hands.
Spare Hands is a trading name of Deep Sohelia, a sole trader based at [business address to follow].
We sell our services to businesses. When you accept a quote or book a service, you agree to these terms.

We are not registered for VAT, so no VAT is added.
First enquiry
Your first enquiry, by email or call, is free. There is no obligation to buy anything.
One-off automation
- We automate one task, described in a short brief that you fill in.
- Before we start, we confirm the brief and the price in writing.
- If the task turns out to need more than one automation, we tell you before doing further work and give you a quote.
- At handover we set the automation up with you and show the people who will use it how it works.
- For 30 days after handover, we fix at no extra cost anything that does not work as the brief describes.
- Changes to the brief after handover are new work.
Consulting day
- A consulting day is 8 hours with your team, plus a break, on site or remote.
- Within 10 working days of the day, we send you a written report and a costing for implementation.
- If you go ahead with the work we recommend, we take the day fee off the cost of the build.
- For days on site, we charge mileage at 45p a mile to cover travel. Remote days have no travel charge.
- You can move a booked day at no charge if you give us at least 5 working days’ notice. Later changes may be charged in full.
Support plan
- The support plan costs £25 a month, billed monthly in advance.
- It covers updates to tools we have built for you when the forms, files or processes they rely on change.
- New automations and larger changes are quoted separately.
- You can cancel at any time by email. The plan ends at the end of the month you have paid for.
Payment
- One-off automations are invoiced at handover.
- Consulting days are invoiced after the day.
- Invoices are due within 14 days. Payment details are on each invoice.
What we need from you
To do the work, we need access to the systems, files and accounts it involves, examples of the task as it is done now, and someone who can answer our questions.
If we cannot get these, delivery dates may move.
AI tools and other services
Our automations may use third-party software and AI services. Their own terms apply, and any subscription costs for them are yours unless we agree otherwise.
AI tools can make mistakes. Please check important output before you rely on it.
We are not responsible for changes that a third party makes to its service.
Confidentiality and data
We keep your business information confidential and use it only to do the work.
Where we handle personal data on your behalf, we do so only on your instructions and in line with UK data protection law.
We delete project files and your contact details 24 months after the work ends.
We keep invoices and payment records for as long as tax law requires. For a sole trader, that is at least 5 years after the 31 January Self Assessment deadline for the tax year they relate to.

Ownership
Once you have paid in full, you own the automations we build for you.
We may reuse general methods and code that are not specific to your business.
Liability
We carry out our work with reasonable care and skill.
Our total liability to you for any service is limited to the price you paid for it.
We are not liable for loss of profit, loss of business or other indirect loss.
Nothing in these terms limits liability that cannot be limited by law, such as for death or personal injury caused by negligence, or for fraud.

Law
These terms are governed by the law of England and Wales.
